IntraMed is currently looking for a freelance Administrative Assistant to join their team. This role is slated to start immediately (full 40 hour weeks).


The Freelance Administrative Assistant will work with the IntraMed Speaker Bureau, and is responsible for assisting with the clerical work for staff members of the IntraMed Speaker Bureau.


Will be responsible for working directly with the Program Coordinators and supporting them as they manage the logistics for medical meetings/programs.


  • Typing
  • Filing
  • Photocopying and distribution of copies
  • Phones (answering, taking detailed messages, and following up if necessary/appropriate)
  • Filing, photocopying, and tracking payment of expenses and payment vouchers
  • Maintaining files for speakers (Contracts, W-9)
  • Coordination of meetings (scheduling, reserving conference rooms, ordering meals and equipment, etc.)
  • Maintaining inventory (letterhead, invitations, folders, envelopes )
  • Over see temporary employees
  • Trains new Administrative Assistant hires
  • Archive’s old files into a Storage System
  • Distributing incoming faxes to the appropriate Manager/Coordinator
  • Coordinates with the Mail Room to order Fed Ex envelopes, boxes, and labels
  • Receives, signs, and distributes incoming packages for the IntraMed Speaker Bureau
  • File management (survey existing files, ensure clean-outs, create systems, etc.)
  • Pitch-in whenever needed


Basic computer skills (Windows, Excel and Office)
